Welcome to VS INFOSOLUTIONS. By accessing our website, subscribing to our services, or engaging our journal technical solutions, you agree to comply with and be bound by the following Terms and Conditions.

User Responsibilities & Acceptable Use

• Clients must ensure that all content, articles, graphics, and journal metadata provided to VS INFOSOLUTIONS do not violate third-party copyrights or intellectual property rights.
• Users are strictly prohibited from using our infrastructure or hosted systems (e.g., Open Journal Systems) to publish fraudulent, plagiarized, or unlawful research content.

Account Terms & Security

• Clients are responsible for maintaining the confidentiality of their portal login credentials and administrator access to hosted systems.
• VS INFOSOLUTIONS reserves the right to suspend or terminate services if an account is found to be engaged in malicious activity, non-payment, or unauthorized access attempts.

Service Rules & Intellectual Property

• All technical setups, custom themes, software configurations, and layout optimizations remain the operational property of the client upon full settlement of invoice fees, subject to underlying open-source licenses (e.g., OJS GNU General Public License).
• Services are provided as per the scope agreed upon in the project proposal or service order. Additional customizations outside the initial agreement are subject to separate billing.

2. Privacy Policy

At VS INFOSOLUTIONS, we prioritize the confidentiality and protection of personal and institutional data collected during service execution.

Data Collection

We collect relevant contact details (name, email address, phone number, institutional affiliation) and technical details (journal domain, server credentials, metadata) strictly necessary for delivering service commitments.

Data Handling & Storage

• Client data and system access credentials are stored in encrypted environments and accessed strictly on a need-to-know basis by authorized technical staff.
• We do not sell, trade, or transfer personal or institutional data to third-party advertisers or marketers.
• Data required for external services (e.g., Crossref DOI registration, OAI-PMH metadata feeds) is transmitted solely to facilitate academic indexing and persistent identification as requested by the client.

3. Cancellation & Refunds Policy

Because VS INFOSOLUTIONS provides specialized digital services, technical setup, and metadata processing, cancellations and refunds are governed by the following guidelines:

Order Cancellation

• Before Work Commencement: Clients may cancel a service order within 24 hours of payment, provided technical setup, manuscript typesetting, or DOI registration has not yet been initiated. In such cases, a full refund (minus gateway transaction fees) will be processed.
• After Work Commencement: Once project initialization, OJS server setup, or article typesetting has started, orders cannot be canceled for a full refund. A partial refund may be issued based on the percentage of work completed at the discretion of management.

Refund Eligibility & Processing

• Non-Refundable Services: Completed services, including allocated Crossref DOIs, registered domain names, active cloud server hosting, and finalized JATS XML conversions, are non-refundable.
• Service Issues: If a technical failure occurs on our end that prevents service delivery, clients must report it within 7 days. If we fail to resolve the issue within an agreed timeframe, a full or partial refund will be approved.
• Refund Timeline: Approved refunds are credited back to the original payment method within 5–7 business days.

4. Shipping & Delivery Policy

VS INFOSOLUTIONS operates exclusively as a digital services and technology provider.

• No Physical Delivery: We do not ship physical goods, printed materials, or hardware products to physical mailing addresses.
• Digital Delivery Method: All completed deliverables (such as PDF files, JATS XML files, OJS login credentials, web links, and DOI confirmation receipts) are delivered electronically via email, cloud links, or secure portal transfer.
• Delivery Timelines: Digital deliverables are completed within the turnaround times specified in your service scope (e.g., 3–5 days for DOI registration, standard project schedules for web setups). Confirmation of completion is sent directly to the client's registered email address.
